Board Meeting Minutes 3/6/2018

Board Meeting Minutes, Tuesday, March 6, 2018, Room 4, Odell Weeks at 6:00PM

In attendance were Jim Kabel, Nancy Vermilye, Marian Garcia, Dick Diemar, Chuck Wright, Beverly Edwards, Mike & Loretta Beckner, Joyce Noland, Linda Blake, Faith Loeb, Sandy Rowder and Nancy Racki.

Reserve Court

  • Jim Kabel began the discussion on our court reservation system in an effort to make any amendments to our current policies that would make reserving a court fairer and more equitable for all players.
  • A player completed an analysis of Reserve Court usage by those who have signed up through our website.  The written analysis was handed out to each of the board members and leadership team in attendance.  Following the discussion, Jim Kabel asked that we review the findings/proposal in depth and encouraged the leadership team to submit their comments or recommendations in preparation for additional discussion at our April meeting, then be sent to all players and posted on the Pickledillys webpage.
  • Joyce Noland proposed that we send out a survey for the purpose of obtaining input from our players.  This survey may possibly be sent out in April.
  • Note:  Gym 1 will not be available for much of June thru August due to Summer Camp Programs, but at this time we do not know how this will affect reserve courts in Gym 2.

Meet and Greet with the City

Jim Kabel and Nancy Vermilye met with five individuals from the Department of Parks, Recreation and Tourism.  Items discussed were:

  • Hot Gym – There was a part in the air conditioning unit for Gym 2 that needed to be replaced.  It is now repaired and should be in working order to cool the gym when temperatures heat up.  Separately, Mike Beckner was informed by Jessica Campbell that all of the units currently at Odell Weeks will be replaced in the future with many added upgrades throughout the facility.
  • City Pickleball Night – The City did not appear especially interested in our proposed City Pickleball Night at this time but would still be open to talks in the future.
  • Balls – The City informed us that it will be difficult paying for the balls that the Aiken Pickledillys use during play.  Following the meeting, 250 Jug Balls were found available for our use but once this supply of balls has been exhausted, the Aiken Pickledillys may be responsible for obtaining their own balls.Sally Fuller is attempting to work something out with Onyx to help us obtain balls.

  • Additionally at the meeting:
  1. The new receptionist replacing Brie Campbell at the front desk is Jeanna Carter.
  2. During April/May, Odell Weeks will be getting new computers.  With this upgrade, all of us will need to have our E-Track Cards replaced with new ones.
  3. The City had questioned if the Aiken Pickledillys had considered changing its classification to a 501-C (3) as a non-profit group that would basically make us a “Club”.  This does not seem likely as this would change the entire dynamics of the Aiken Pickledillys and usage of Odell Weeks as our facility.

Ron Nelson Rating Update

  • The number of players signed up for a rating session had decreased as many have completed their rating after being placed on the 2.5 rating list.

Dick Diemar Up Play Update

  • Dick Diemar is pleased with the number of players that have signed up for the Reserve Level Up Play.  A second court will be added provided that there are no lessons being used on another court the day of Level Up Play.
  • Dick asked the City if we were permitted to use the Racquetball Court to practice in and they were unable to provide us use of the court. The court is to be used for racquetball only.  Thus, NO PICKLEWALL!

Teacher Certification Update

  • We now have two instructors who have completed the certification process.  They are Mo Garcia and Wojcieck Adamek.
  • Grace Vance’s certification is in process.

Spring League Update

  • A draft of league players is scheduled for Thursday, March 15, 2018 with matches scheduled to begin play in April.  The Spring League will be composed of three teams.  All of the games will be played on Thursdays on outdoor courts.
  • The team from Columbia has decided not to participate in the Spring League due to the scheduling of Thursdays for the matches. Thursday matches make it difficult for their working members who would get home too late.  They will, however, participate in the fall when matches will once again be scheduled on Fridays.

Social Agenda

  • No social has been planned at this time.  A social may be planned for the month of May.

Next Meeting

The meeting was adjourned at 7:18PM.  The next leadership meeting is scheduled for Tuesday, April 3, 2018, 6:00PM, at Odell Weeks.
